Job position: Receptionist
Purpose of the job position: Reporting to the HR Manager, the receptionist is responsible for a variety of administrative support tasks such as answering phones,
receiving visitors, preparing meetings and training rooms, sorting and distributing mail, and making business travel arrangements.
Organizational unit: HR Department
1. Responsibility range/Scope of duty
Attend to visitors and deal with inquiries on the phone and face to face.
Supply information regarding the organization to the public, clients and customers.
Answer telephone, screen and direct calls, provide information, take and relay messages.
Greet persons entering organization and direct them to correct destination.
Monitor visitor access and maintain security awareness.
Provide general administrative and clerical support.
Prepare correspondence and documents, receive and sort mail and deliveries.
Organize conference and meeting room bookings.
Monitor and maintain office equipment, control inventory relevant to reception area.
Responsible for tidiness and maintenance of the reception area.
2. Competences – knowledge and skills
Bachelor's Degree preferred.
Knowledge of administrative and clerical procedures;
Excellent written and communication skills and the ability to work with individuals across all levels of the organization; knowledge of customer service principles and practices preferred.
Knowledge of computers and relevant software applications.
Professional personal presentation, attention to detail, initiative and reliability.
Knowledge of English is mandatory. Knowledge of additional foreign languages is a plus.
