    We are seeking to welcome a qualified and dynamic PMO Officer (Band 4T) in our Digital Transformation Office reporting directly to the Head of Digital Transformation Office.
    Overall Job Definition
    The PMO Officer supports the execution and governance of project and portfolio management practices across the organization. This role ensures consistency in project documentation, monitors progress, provides administrative and analytical support to project teams, and helps implement standards, administrative assistance and tools to improve project delivery efficiency and transparency.
    Main Responsibilities:
    Manage and maintain project documentation, ensuring consistency and adherence to PMO standards.
    Monitor and track project milestones, timelines, risks, and dependencies. Prepare and update dashboards, status reports, and project health summaries. Consolidate inputs from project managers for portfolio-level reporting.
    Assist in project budgeting process, tracking and reporting on financials (actuals vs. forecasts). Help analyze project cost variances and support corrective actions. Performs invoice processing through financial system, for every expense related directly with DTO department.
    Schedule, coordinate, and document meetings, including project status updates, steering committee meetings, prepare meeting minutes, track action items, and follow up with responsible stakeholders.
    Facilitate communication between project teams, stakeholders, and the PMO. Ensure that information is distributed effectively.
    Provide administrative support to project managers and other PMO staff, including calendar management, travel arrangements, and expense tracking.
    Assist in resource allocation and tracking to ensure that project teams have the necessary resources for successful project delivery.
    Support change management activities by assisting in the documentation of change requests and coordinating communication related to changes.Can take over the management of specific
    projects/change request, managing them end to end based on the project management procedure.
    Maintain registers of project risks and issues, ensuring that they are regularly updated and communicated to relevant stakeholders.
    Assist in the onboarding of new project team members and provide training on PMO processes, procedures and tools.
    Generate regular and ad-hoc reports on project status, key performance indicators, and other relevant metrics.
    Contribute to the continuous improvement of DTO processes and procedures.
    Competencies / Skills:
    University Degree in Computer Sciences/Business Informatics/Business Administration or related studies.
    Proven experience in a project coordination or administrative role.
    Strong organizational and multitasking skills.
    Excellent communication and interpersonal skills.
    Proficient in project management tools and Microsoft Office Suite.
    Knowledge of project management methodologies and best practices.
    Ability to collaborate effectively with diverse functional groups and employees at all levels.
    Ability to work in a fast-paced environment and handle multiple tasks simultaneously.
    Excellent written and oral communication skills
    Quick learner, able to work independently with limited supervision.
