We are currently looking for a Lobby Ambassador who will work at our Albanian office, in Tirane, Arena Center.
·Mission
The Lobby Ambassador welcomes and orients calls and external/internal visitors, manages client logistics as well as employee business trips in the different countries.
·Main activities
1. Welcome and orientation of visitors
Manage telephone calls.
Advise and inform visitors or customers.
Direct visitors within the premises, and to appropriate services
2. Coordination of client visits and employee travels
Organize the welcoming of clients: Ordering taxis, booking travel tickets, booking of hotels ...
Book transports and accommodation, make reservations of corporate vehicles for professional employee travels...
3. Logistics (depending on site needs)
Perform the first level maintenance (printers and postage meter), contact maintenance companies, if necessary, order supplies related to equipment, manage access badges
Enter purchase requests, receive orders and ensure their compliance within deadlines.
Book rooms internally and externally
Stamp, receive and dispatch mail and parcels ...
4. Administrative management
Edit, finalize and send media (letters, presentations), support displays in the Company

Be reliable, on time and meet deadlines. Be rigorous in reasoning and tasks.
Structure and adjust oral and written communication according to the audience.
Identify and seek the right contacts (internal and external) depending on the needs and context. Initiate a trusting relationship.

Write standard texts (letters, presentations, reports, emails) using appropriate vocabulary.

Understand and speak clearly and in a detailed manner. Master the technical and / or specific vocabulary.
2. Specific Competencies:
Meet expressed requests or needs by providing a fast and effective response. Identify critical situations and report back to the management.
Fluent English (any other language is a plus).
