    This Personal/Executive Assistant position is an opportunity for a secretary to support our Tirana-based Group Chaiman/CEO’s personal and professional life. We seek someone who will be dedicated to managing his work/flow and to simplifying day-to-day life so that he can focus more on both personal and professional growth and peace of mind.

    The Hawkfields Group has companies in several countries, including Montenegro, RKS, North Macedonia, Spain and Portugal, besides four different offices in Tirana, and is looking for someone to handle all aspects of its Chairman’s personal and professional life. You will be based from the office in Komplesi SQ21, in RR e Kavajes, Tirana but will be required to have the flexibility to travel locally and internationally as often as required. This suits an ambitious individual who wants to learn and grow with a fast growing group and in which there are many opportunities to grow.

    Responsibilities:

    Schedule, take and coordinate meetings, video conferences, and calls on behalf of the CEO

    Personal and business Calendar management for CEO

    Prepare correspondence on behalf of the CEO

    Arrangement of personal and business travel, both international and local, for CEO and his family.

    Execute special projects or support team members on various projects, as assigned

    Helping with personal tasks as assigned, i.e. present buying, ordering, restaurant bookings, appointments, home moves and all tasks related to the CEO's personal, home and family life.

    Acts as a liaison for the CEO with Albanian, Macedonian, Montenegrin and Portuguese staff members.

    Manage the CEO’s domestic life from start to finish, liaising as needed with the CEO's personal, business and household staff when required.

    Managing email accounts, and other communication access provided by the CEO and assist him on social media and informatic matters, in particular system and process set up.

    Attend social functions representing the group or accompanying the CEO and welcome and entertain group directors and VIP visitors in Tirana.

    Reception manning, handling incoming calls, ensuring visitors are welcomed and well taken care of

    Implementing procedures for visitors, arranging travels, hotel bookings, guests’ accommodation

    Manage; insurance, vehicles, utilities, subscriptions, paperwork, orders.

    Manage receipts and liaise with the finance team to process expenses and reconcile transactions.

    Perform administrative tasks, research tasks, and record-keeping.

    Qualifications:

    Must be reliable, personable, punctual and organized

    Excellent English to communicate with international team members

    Must have excellent verbal and written communication skills

    Fashion sense and an outgoing manner

    High attention to detail and deadline-oriented

    Ability to prioritize and multi-task with strong follow-up skills including the ability to keep the busy CEO on track professionally and personally.

    Self-starter who can work autonomously as well as with a team

    Must have excellent judgment and be able to handle confidential matters with discretion

    Tech-savvy and quick to learn in changing environments

    You are highly goal driven adaptable and thriving in changing contexts and work well in fast paced environments

    Must have a valid Albanian driver's license and be willing to drive using Company pool car. Additional driving training will be provided.

    Must be available to work in the CET time zone from Monday-Friday. This role requires 40hrs/week and {paid) overtime afterhours and on week-ends. Once hired, it will start on a trial basis of 20hrs/week for the first few weeks.
